I'm presenting a poster. What should I bring to the conference?

You should bring:

  • Your poster (3 ft × 4 ft, vertical orientation) and any backup materials (USB copy for local printing in case your poster rolls out of your car trunk while driving, tape for repairs, etc.)
  • A laptop or tablet if you want to show supplementary material during discussions
  • Notebook or device for taking notes during talks and networking
  • Comfortable clothes and shoes—you’ll be on your feet during the poster session
  • Weather-appropriate outerwear—Madison can be chilly in early November
  • Business cards or QR codes if you want to share your contact info easily

Pushpins will be provided on-site.

I'm giving a talk. What should I bring to the conference?

If you’re giving a talk, bring:

  • A backup copy of your slides on a USB drive or accessible online (even though talks must be uploaded in advance).
  • Optional: Notes or printouts to help you keep track of timing and key points.
  • Weather-appropriate clothing—Madison can be cold in early November.
  • Business cards or QR codes if you’d like to share contact info.

All presentation files will be preloaded on the conference computer, so you won’t need to bring your own laptop for the talk itself. We will have a clicker available for you to use during your talk.

I received travel support including local lodging. Where am I staying?

If you received travel support that includes local lodging, the organizing committee has already booked your hotel room. You should have received an email from Juliette Becker with your assigned hotel name and address. All supported attendees will check in on November 5 and check out on November 7. The hotel room cost will be paid directly by the university. You are only responsible for incidentals.

How many attendees will be able to give talks?

We have 42 talks scheduled. You can find the list of talks here. 

How long will talks be?

Talks will be 10 minutes total – 8 minutes for your talk, and 2 minutes for questions.

Is there funding for travel / lodging available?

We have funding available through NASA TWSC to support attendance at the meeting. All funding has already been allocated.

When will I hear back on whether my abstract is accepted?

Everyone has already heard back on their abstracts. If you think you have not heard back, please check your email (including junk folder), and if you can’t find anything, email the organizing committee.

How big is the GLEAM conference?

In past years, GLEAM has welcomed 70-100 participants. As of 10/17/2025, we have ~100 registered attendees.

Where have past GLEAM meetings been held?

Some members of our Organizing Committee attended the original version of GLEAM hosted at Northwestern in 2017 or 2018.

In its modern form, GLEAM started in 2021 at the University of Michigan.

In 2022, GLEAM was hosted at OSU.

In 2023, GLEAM was hosted at Indiana University. 

In 2024, GLEAM took a break.

May I attend the conference but not present anything?

Yes! If you are a researcher working in exoplanets or a adjacent field or a student interested in the field, we would be happy to have you join us. If you would like to attend the conference but not present a talk or poster, then all you need to do is register so that we know to expect you.

What is a poster pop?

A poster pop is a 30-second lightning introduction to your poster, shown during the opening session on Thursday morning. You’ll get to share one slide and briefly tell attendees what your work is about. Learn more here.
